The organizer's guide
How to Plan a School Color Run
Everything a PTO, PTA, or teacher needs to plan a Color Run from first idea to finish line — without losing your weekends.
Planning a Color Run is far simpler than planning a product sale, because there's no catalog, no inventory, and no delivery. Here's the full path, in order.
Step 1: Set your goal and date
Start with a dollar goal tied to a concrete purpose — playground equipment, classroom technology, a field trip. Pick a date six weeks out, avoiding testing weeks and holidays. Your Get Movin' coach (a former PTO/PTA volunteer) helps you set a realistic number based on your enrollment.
Step 2: Build a small team
You need fewer people than you think: an event lead, a volunteer coordinator, and a captain for each color station. The platform handles the financial tracking that used to require a small army.
Step 3: Choose your course
A parking-lot loop, a path around the field, or gym laps all work. Mark the route, place three to five color stations, and plan a finish-line celebration. Keep distance age-appropriate — most schools run a short loop multiple times.
Step 4: Launch online
Open registration on the FundHub platform. Parents build a student page in about five minutes and start sharing. This is where the money is made — see how to promote your Color Run.
Step 5: Gather supplies
Order food-grade color powder, event t-shirts, eye protection, and music gear. Use the Color Run supplies list so nothing gets forgotten, and review safety basics before event day.
Step 6: Run the event and cash out
On event day, students run the course through the color stations while donations tally live. Afterward, thank donors and receive your funds by automatic ACH deposit.
Stay on schedule
Print the Color Run checklist for your binder and map every task to a date with the week-by-week timeline. Together they turn this guide into a plan you can hand to your team.

Color Run Fundraiser FAQs
How far in advance should we plan a Color Run?
Plan four to six weeks out. That gives families enough time to register and gather donations without losing momentum. Your coach can compress the timeline if needed.
How many volunteers do we need?
A typical Color Run needs an event lead, a volunteer coordinator, and one captain per color station — often fewer than ten people total, because the platform handles tracking and payments.
How long is a Color Run course?
Most school Color Runs use a short loop that students run multiple times, keeping it age-appropriate and easy to staff. The exact distance is up to you.
