Sound & tech (the non-negotiables)

  • Speaker/PA system loud enough for the room — borrow the school's or a sponsor's.
  • Wireless microphone for the emcee and announcements.
  • Music source & backup — a device with the playlist downloaded offline, plus a backup phone in case Wi-Fi drops.
  • Extension cords & power strips, taped down for safety.
  • A volunteer DJ or emcee to keep energy up and run the run-of-show.

Build the setlist with the music & playlists guide.

Lighting & atmosphere

  • Disco ball or LED party lights — inexpensive and transformative.
  • Blackout or dimmed room for a glow/neon theme.
  • Blacklights if you're going neon (they make white and neon pop).
  • A projector or screen for the goal thermometer, lyrics, or dance tutorials.

Décor & signage

  • Theme décor — balloons, streamers, backdrops matched to your theme.
  • A big goal thermometer that updates live during the event.
  • Directional and zone signs — check-in, water, restrooms, photo spot.
  • A sponsor banner or logo wall to honor the businesses covering your costs.
  • A photo backdrop for the memories that fuel next year's promotion.

Grab ready-made signage on the posters & flyers page.

Wearables & fun

  • Glow sticks, bracelets, and necklaces — sell them as an add-on to cover cost.
  • Event t-shirts (often sponsor-funded) to build unity and visibility.
  • Props for games — beach balls, ribbons, hula hoops, a limbo pole.
  • Small prizes for game winners and top fundraisers.

Plan the games these support on the games page.

Hydration & comfort

  • Water station with cups or bottles — ask a grocery sponsor to donate.
  • Light snacks if your event runs long.
  • A rest/cool-down area with seating for anyone who needs a break.
  • Fans or ventilation for a packed, active room.

Safety & logistics

  • First-aid kit and a designated staff contact.
  • Clear floor — cords taped, obstacles removed, exits unblocked.
  • Volunteer zone assignments and a printed run-of-show.
  • Check-in list and any required permission forms.

Cover the rest on the safety and event-day checklist pages. Most of this list can be borrowed or sponsored, keeping your out-of-pocket near zero.
