A Fun Run checklist covers six phases. Six weeks out: goal, budget, date, lead team and course. Five to four weeks out: theme, prizes, online pages, sponsor asks and orders. Three weeks out: sponsors and volunteers. Two weeks out: kickoff and launch. Event week: final push, course, water and first aid. After: tally, prizes, thank-yous and reconciliation.
Print this list and hand one copy to each person on your lead team. For the reasoning behind each step, see how a Fun Run fundraiser works.
6 weeks out: foundation
First event or large school? Do this phase at 8 weeks.
- Name the project and set the dollar goal
- Draft the budget and decide which costs sponsors will cover
- Pick the event date and a rain date; get principal sign-off
- Fill the four lead roles: Event Coordinator, Event Promoter, Event Planner, Financial Planner
- Choose the course: a short loop of about 1/16 to 1/8 mile for elementary
5–4 weeks out: setup
- Choose a theme and the prize structure (individual, class, whole-school)
- Get online student pages ready and decide flat donations, per-lap pledges or both
- Send sponsor asks with a logo deadline for shirts
- Order shirts, prizes and theme supplies (color powder, glow gear)
- Plan the kickoff assembly and the parent message schedule
3 weeks out: partners
- Confirm sponsors and collect logos for the shirt
- Recruit event-day volunteers by role and shift
- Confirm the whole-school unlock with the principal
2 weeks out: launch
- Hold the kickoff assembly
- Send parents a text and email with the student page link and the deadline
- Send a first-48-hours reminder to families without a page
- Post the goal and a progress meter where families will see it
- Send a mid-window reminder and class-by-class updates
Event week
- Send the final 48-hour push to parents
- Share the wave schedule with teachers
- Mark the course and plan stations, music and shade
- Set up water and a first aid station with a named lead
- Confirm the weather call: who decides, by when, and the backup
- Print rosters, lap counters and signage
- Confirm the photo opt-out list and the pick-up plan
After the event
- Collect any per-lap pledges and close donations
- Tally totals and deliver prizes and the whole-school unlock
- Thank donors, sponsors, teachers and volunteers
- Reconcile cash and checks against online totals; confirm the ACH payout
- Hold a debrief and write down what to change next year
Most forgotten items
- Rain date. Set it with the event date, not the week of.
- Water and first aid. Both need an owner, not just supplies.
- Thank-you plan. Sponsors who get thanked publicly tend to say yes again.
For when each item falls, see the week-by-week Fun Run timeline. For station-by-station staffing, see Fun Run volunteer roles.

Frequently asked questions
What do you need for a school Fun Run on event day?
You need a marked course, water, a first aid station with a named lead, music, signage, class rosters and lap counters. Add theme stations and decorations if you have a theme. Staff check-in, lap counting, water, course marshals, photography and prize distribution with volunteers, and share the wave schedule with teachers ahead of time.
When should we start the Fun Run checklist?
Start six weeks before the event if your school has run a Fun Run before. For a first event or a large school, start the foundation phase eight weeks out. That leaves time for the goal, date, team and sponsors before the two-week fundraising window opens with the kickoff.
Is there a printable version of the checklist?
Yes. The PDF above has the same phases and items with checkboxes. Print one for each member of your lead team so everyone can see which items are theirs and what the other three roles are working on. Or print this page directly; the list prints on its own.
